Ontario employers must give new hires written job information before day one

The rule applies when the employer has at least 25 employees on the new worker’s first day.

The written-information requirement

Since July 1, 2025, an Ontario employer with at least 25 employees on a new hire’s first day must provide specified job information in writing before that day. When advance delivery is not practicable, it must be provided as soon as reasonably possible afterward.

The required information includes the employer’s legal and operating names, contact information and a general description of where the employee is expected to work initially. Ontario’s employment-standards guide sets out the rest of the prescribed employment information.

A separate onboarding record

The notice is an employment-standards document. It sits alongside, rather than replacing, the employment agreement, policy acknowledgements and the province’s employment-standards poster requirements.
